Patient Experience Lead
WE ARE RECRUITING FOR A PATIENT EXPERIENCE LEAD TO WORK ACROSS HULL, SCARBOROUGH AND YORK
We are looking for an experienced and compassionate individualto join our dedicated Patient Experience and Quality Governance Team at Haxby Group. You will work under the direction of the Associate Director of Governance and have strong working relationships with the General Managers, Deputy General Managers and Local Medical Directors across each of our city locations.
You will play a pivotal role in strengthening the voice of patients and families, helping the organisation to understand where quality care and patient satisfaction has been delivered well, where care has fallen short, and ensuring feedback contributes directly to continuous improvement in the quality and safety of our services.
As the Patient Experience Lead, you will be responsible for day-to-day coordination of Haxby Groups complaints process, additionally coordinating compliments and patient feedback, supported by a team of Patient Experience Team Administrators. In this highly visible and rewarding position, you will help foster a culture of fairness, openness, learning, and continuous improvement, where patient feedback is valued as a vital part of delivering excellent care.
You will act as a central point of expertise, coordinating and undertaking investigations, supporting staff in resolving concerns locally where possible, producing quality written responses and reports, and ensuring formal complaints are handled in accordance with Regulations and Haxby Group Policy.
This is a key role in ensuring that every patient, family member, and carer who raises a concern is listened to, treated with respect, and receives a fair and timely response. You will work closely with clinical and operational teams to ensure that responses are thorough, balanced, and compassionate — and that lessons from complaints and patient feedback are clearly identified, shared, and used to drive improvement across the organisation.
We would love to hear from someone who has excellent people skills and enjoys a ‘hands on approach’ to working with patients and staff. Someone who is empathetic, organised in approach, and confident in managing sensitive and sometimes complex issues with well- developed verbal and written communication skills.
Patient Experience Lead Responsibilities:
This role will ensure that:
- The voice of the patient (and relatives/carers) is heard and responded to appropriately, proportionately and with compassion and respect, providing an identifiable, accessible service to assist patients, relatives and carers with queries, compliments, concerns and complaints.
- The organisation engages effectively with patients, their families and carers, thus gaining a better understanding and insight into issues and complaints raised.
- Support, guide and advise colleagues how to navigate the complaints process with empathy and understanding.
- Manage the day-to-day complaints handling process supported by the Patient Experience Team Administrators under the post holders direct Line Management.
- All complaints are managed in line with the requirements set down nationally through the Local Authority Services and NHS Complaints (England) Regulations.
- All complaints are handled in accordance with the Parliamentary and Health Service Ombudsman NHS Complaint Standards, and Haxby Group Values, Policies and Standard operating procedures.
- Maintain a live tracker of all cases and ensure complaints recording is contemporaneous and accurate, supported by the Patient Experience Team Administrators.
- Maintain the highest standards in investigating and responding to patient concerns and complaints, ensuring opportunities are identified to resolve issues to the satisfaction of the complainant / patient at the earliest opportunity.
- Use skills of empathy, influence, mediation and negotiation to help achieve the most appropriate resolution to a complaint.
- Provide expert advice during all aspects of complaint investigations and throughout the complaint handling process, providing training and support to all staff involved in the process.
- Ensure a robust process is in place to identify and escalate issues from contacts received that require immediate action, e.g. safeguarding issues, professional conduct and significant quality or safety concerns.
- Close monitoring of complaints and patient feedback data including undertaking detailed analysis of themes and learning through regular reports.
- Providing support for the practice complaints meetings and engaging in other quality governance meetings as required.
- Support clinicians, managers and staff across the organisation in processes to learn from patient complaints, compliments and feedback, ensuring accurate identification of issues from contacts with patients, relatives and carers to help drive service improvement.

Nurse Team Administrator
WE ARE RECRUITING FOR A NURSE TEAM ADMINISTRATOR IN SCARBOROUGH
An exciting opportunity has arisen within the Nursing team. We are seeking a highly motivated Nurse Team Administrator to join our team. Working alongside the Nurse management team, you will play a crucial role in providing comprehensive administrative support to the nursing team ensuring the smooth and efficient running of daily operations. Key responsibilities will include managing administrative processes, infection control, stock management and maintaining electronic records.
The Nurse Team Administrator will provide comprehensive administrative support to the Nursing team, ensuring the smooth and efficient running of daily operations. The role is administrative based and does not typically involve direct patient care. They will work under the indirect supervision of the nurse management, undertaking tasks and duties as delegated, following policy and procedures.
The purpose of the role is:
- To assist the Head of Nursing and Nurse Management team in providing a comprehensive nursing service to Haxby Group patients.
- To work flexibly to support nurse team and practice administration across all sites.
- To facilitate effective communication between patients, staff and associated agencies.
The duties and responsibilities to be undertaken may include any or all the items in the following list which is not exhaustive. Duties may be varied from time to time dependent on current and evolving practice workload and staffing levels:
The post holder will support the Nurse team in a variety of administrative tasks, freeing the team members to focus on clinical care delivery including:
- Monitoring and ordering of clinical and non-clinical supplies, ensuring stock levels are maintained.
- Monitoring and ordering of vaccines and other drug stock.
- Infection control monitoring and audits.
- Monitoring and risk assessment for Health and Safety.
- Oversee the annual calibration of all clinical equipment.
- Maintain clinical equipment for new items and repairs.
- Planning induction and training programmes for new team members and students.
- Assistance with clinical paperwork as directed e.g. PGDs.
- Assist the Nurse Management team in the setting up of meetings, collating information required, taking notes and follow-up.
- Assist the Nurse Management team in maintaining and updating electronic records to include competencies, training records and registration records.
- Assist the Nurse Management team in organising staff reviews and training.
- Utilise and develop the electronic Nurse Team folder.
- Undertake photocopying and produce laminated notices as directed by the Nurse Management team.
- Assist with health promotion and other campaigns e.g. Flu campaign.
- Assist with Nurse Team involvement in support for patients.
- Deal with telephone enquiries, greeting visitors and mail.
- Give accurate and appropriate information to patients, staff and other agencies within own competence.
- Assist the patient and other clinicians in the delivery of care in urgent or emergency situations.
- Act as chaperone and assist patients if required.
- Physically assist in the transfer and movement of materials and equipment.
- Maintain accurate and complete records and other documentation in accordance with Practice protocol.
- Be aware of child protection issues and guidelines.
- Assist with the training of other staff members and also with the education of doctors and nurses in training.
- Apply policies, standards and guidance.
- Undertake additional tasks as required within your general role as an Administrator.

Clinical Support Administrator

In the role of Clinical Support Administrator you will receive, assist, and direct patients in accessing the appropriate services or healthcare professionals in a courteous, efficient, and effective way whether this be face to face or over the telephone. You will also undertake a variety of administrative tasks to assist with the smooth running of the practice.
Duties may be varied from time to time under the direction of management, dependent on current and evolving practice workload and staffing levels.
The duties and responsibilities to be undertaken may include any or all of the items in the following list:
- Guide all practice staff in the use of read codes.
- Retrieve records, make note entries, scan and process documents and correspondence in patient medical records
- Prepare and summarise patient’s records following business policies and procedures.
- Administration responsibilities for processing requests for NHS work that is received from third parties and patients.
- Troubleshoot electronic mail including pathology/laboratory.
- Responsible for quality data collation and presentation.
- Deliver clinical audit activities.
- Undertake systematic, critical analysis of quality medical care.
- Support focus groups in identifying and targeting patients for assessment and treatment.
- Collect data for enhanced/additional services.
- Deliver clinical trials administration.
- Interrogate data for audit purposes when required.
- Assist with the patient registration process including temporary residents out of area and immediately necessary treatment following business policies and procedures.
- Deal with GP2GP processes.
- Process SystmOne EDI Links on a daily basis.
- Deal with patient records and deductions appropriately.
- Oversee staff starter and leaver processes adhering to protocol.
- Help troubleshoot IT problems and where possible assist with the reporting of any issues or problems with PC’s/printers/telephones and networks.

GP Mentoring and Support Programmes
This is a programme designed to offer support to future doctors and those applying to medical school.
If you are interested in becoming a doctor this will give you a practical understanding of what it’s like to work as a GP, as well as helping you navigate the application and medical training stages, from undergraduate to postgraduate training.
The programme is open for anyone in the York, Hull or Scarborough areas and is specifically to local people from non-medical families and those who would not normally consider applying to study medicine.
We are offering a range of annual bursaries as part of the scheme.
